Getting people to show up for your webinar is vital, but there’s even more that goes into hosting a successful live event.

Most webinars are scheduled in the morning or early afternoon — when people are at work.

The key to hosting a successful webinar is not only getting people to register but showing up for your live event.

1) Promote, Promote, Promote — and Then Promote Some More

Make sure that everyone who might benefit from the webinar knows about it. You can schedule a promotion early in the week to remind guests on Sunday afternoon, but don’t end your efforts there.

Keep updating your event invite with fresh promotional materials throughout the week leading up to your event. Send a new email every few days that reiterates the date and time, along with another link to register.

Every so often, create a new banner ad for your webinar and promote it on social media channels such as Twitter and Facebook. If you have other online assets such as ebooks or whitepapers you can upgrade, do that, too.

Remember: Your webinar promotion should strictly focus on getting people to register and attend the live event (rather than sell them something outright)

2) Have a Goal — and Make It SMART

Another free webinar tip is to ensure your webinars are successful in the future, you’ll need some complex data on what’s working and what’s not.

Before your next webinar, decide on three main goals you want to achieve:

1) Number of attendees

2) Conversion rate (the percentage of people who attend the webinar after clicking the initial promotional link)

3) Webinar feedback (questions asked, overall sentiment, etc.)

For example, say you want 100 people to show up, a 25% conversion rate, and gather questions that will provide insight into how your business can improve its products.

Please write down your three goals, making sure that they’re SMART — meaning they are specific, measurable, achievable, relevant, and time-bound.

3) Set Up Your Technology in Advance

While it’s tempting to wait until the week of the webinar to get your technology in order, doing so will create unnecessary stress for you leading up to the event.

Make sure you have your account set up with GoToMeeting, WebEx, or whatever webinar-hosting service you use. You should also test out your slides and any other materials if possible. If there’s one thing worse than showing up to an empty room — it’s having technical difficulties during the event.

You can also embed a webinar link into your promotional emails and banner ads to ensure the technology works ahead of time.

4) Announce an Expected Timeline

This free webinar tip is for those who have never hosted a live webinar before: People won’t show up if you don’t provide an expected timeline. They won’t know when to expect an offer, how long they’ll get to interact with you, or when the presentation will conclude.

An effective timeline should include up-front information about what time the webinar will begin and end, as well as a few bullet points that highlight some big takeaways from your presentation. This can be in a separate paragraph or a list format.

5) Ask for Questions Ahead of Time

People often avoid live events at all costs because they’re afraid of looking foolish in front of others. As a result, when it comes time to ask questions, most people will stay quiet — even when they have pressing concerns about the covered material.
